Hi all,
attached you can find the blueprint for a workflow I have built to automatically create certain sales documents (MSA, NDA, Order Form) out of Hubspot. I mainly built this to have a cheaper automation option than Hubspot operations license which is ~720 USD a month
blueprint.json (1.4 MB)
This workflow significantly streamlines our sales process and ensures consistency across all our customer-facing documents.
Key Features:
In Hubspot the seller can choose the document that needs to be created:
- Automatically generates Multiple Sales Documents (MSA, NDA, Order Form) based on Hubspot deal data
- Creates and manages client-specific folders in Google Drive
- Populates document templates with relevant deal information
- Saves documents in both Word and PDF formats
- Emails completed documents to the sales representative
- Posts notifications in Slack for team awareness
- Updates Hubspot to reflect completed document creation
How it works:
- In Hubspot, the sales rep selects the required document type from a custom tile.
- The workflow retrieves all necessary deal details (e.g., AutoRenewal status, payment terms, address).
- It then populates the appropriate template, creating both Word and PDF versions.
- Documents are saved in a client-specific folder (created if not existing) in Google Drive.
- The sales rep receives an email with the completed documents.
- A Slack notification is sent to keep the team informed.
- Finally, the Hubspot “doc creator” field is reset, ready for the next request.
I’ve attached a blueprint of the workflow for those interested in the technical details. While it’s quite extensive, I’m always looking for ways to optimize. I’d love to hear your thoughts on potential improvements or ways to make the workflow more efficient.
If this workflow aligns with your organization’s needs, feel free to reach out. I’m happy to discuss implementation strategies or answer any questions you might have.
Looking forward to your feedback and engaging in discussions about streamlining sales processes through automation!
Greetings,
Julian from Germany
