Hiring Senior AI & Automation Operations Lead (Make.com Specialist) | Remote

About the Role

We are a Saudi-based AI & Digital Transformation Agency building end-to-end digital systems, WhatsApp AI engines, process automations, and CRM integrations for fast-growing businesses.

We are looking for a Hands-on AI & Operations Lead to help us build a fully AI-First operational hub. This is not a traditional PM role — we need a system builder, an automation architect, and a problem solver who loves turning complex operational bottlenecks into sleek, automated Make.com scenarios.

What You’ll Be Building & Managing

  • AI-First Operations: Designing and deploying scalable workflows using Make.com, LLM APIs (OpenAI, Claude, Gemini), and webhooks to eliminate repetitive internal tasks.
  • WhatsApp AI Automations: Building advanced WhatsApp Business API flows integrated with CRMs and AI agents for client and internal operations.
  • Content Engine Automations: Setting up end-to-end workflows for multi-channel content generation, scheduling, and asset creation (text, image, reel scripts/video inputs).
  • Project & Delivery Management: Leading internal dev/design projects, managing freelancers, and ensuring deliverables meet quality and architecture standards.
  • Systems & SOPs: Writing clear operational documentation and continuously optimizing node-level agency workflows.

Requirements & Tech Stack

  • Location & Language: Based in the Arab World / MENA Region (Arabic native speaker with fluent professional English).
  • Expertise in Make.com (Advanced scenarios, custom Webhooks, JSON parsing, Error handling, Data stores, and API calls). n8n or Zapier is a plus.
  • Daily hands-on AI usage: Deep integration experience with LLM APIs (ChatGPT/OpenAI, Claude, Gemini).
  • PM & Ops Experience: Proven background leading digital projects or operational teams inside a startup or digital agency.
  • Tooling: Proficient in Google Workspace, ClickUp/Asana/Notion, and modern PM tools.
  • Mindset: Extreme ownership, self-driven, and obsessed with system scalability and clean workflow design.

Perks & Contract Details

  • Type: Long-term, ongoing renewable contract (Project/Contract-based).
  • Location: 100% Remote (Targeting candidates from the Arab Region)
  • Hours: Flexible hours with core async collaboration.
  • Growth: High potential to step into a core leadership role as the agency scales.

How to Apply

Please drop a reply or message with:

  1. A brief introduction & your background in automation/operations.
  2. Your daily AI & Automation stack (e.g., Make scenarios, tools, models).
  3. Showcase: 1–2 real-world complex automation workflows/scenarios you’ve built (screenshots, Loom videos, or architecture descriptions are highly welcome!).
  4. Your weekly hourly availability and time zone.
  5. What’s the biggest automation or AI system you’ve managed from scratch?

Hello @Blumark_24, welcome to make community I can help with this. I build Make.com automations with error handling, tests and a walkthrough so your team can run them.

Answering your five points directly.

1. Background

I run Pathfinder Automation Solutions. Make.com Expert, Zapier Expert, Top Rated on Upwork with 100% job success. Most of my work is multi-system integration plus AI agents on WhatsApp and voice. I also run delivery, write the documentation and manage freelancers, so the ops half of this role is familiar ground.

2. Daily stack

Make.com primarily, n8n when self-hosting or heavy processing is needed, Zapier where the client already lives there. Claude daily including Claude Code, plus OpenAI and Gemini depending on cost and task. Supabase, Airtable, WhatsApp Business API, Twilio, Google Workspace APIs, Notion and ClickUp.

3. Two builds

AI sales agent for a mobile DJ company. Marketplace leads trigger an agent that qualifies by date, venue and package, handles the back and forth over SMS through Twilio, and books into Calendly. Required A2P 10DLC registration, a conversation state machine so context survives between messages, and an on/off switch for the owner to take over mid-conversation. Live.

Inventory and work order automation on SOS Inventory for a US manufacturer. Make scenarios against an API with a hard 500ms rate limit, so a throttled queue with retry plus a reconciliation pass so nothing fails silently. Heavy JSON parsing, data stores for state, error handling on every branch.

Also currently delivering a two-phase Karbon to Google Workspace to RingCentral identity and communications integration for a US accounting firm.

4. Availability

GMT+1, already working US and Gulf hours daily. 25 to 30 hours a week, flexible, with real overlap on Saudi time.

5. Biggest from scratch

The DJ sales agent, end to end. Discovery, architecture, Twilio and A2P registration, the agent, calendar integration, documentation, handover, and ongoing monthly support.

Happy to screen share a live scenario so you can see how I structure error handling and data stores rather than taking my word for it.

Hi, this sounds like a strong match on the technical side. I work with Make.com, n8n, AI/LLM APIs, webhooks, JSON, WhatsApp automations, CRM integrations and Google Workspace, including building and troubleshooting multi-system workflows.

I’m based in Nigeria rather than Saudi/MENA, but I’m on WAT (UTC+1) and have flexible working hours, so I can work around your team’s schedule.

I’ll send you a DM with my details, availability and relevant workflow examples.

Hello @Blumark_24, answering your five points in order.

1. Background
Based in Morocco. Native Moroccan Arabic, fluent English and French. I run Guzen, a small automation agency, and direct a 5-person contractor team (2 backend devs, DevOps, security, ERP). My role is the one you describe: system builder and automation architect, with freelancers delivering to the architecture I set. Everything below runs in production today for my own outreach operations.

2. Daily stack
n8n (self-hosted, orchestration layer), LLM APIs (Claude, DeepSeek, OpenAI), LangGraph agents, webhooks, PostgreSQL, Playwright, Apify, Google Maps and WhatsApp Business via a native WebSocket client, Google Workspace, Notion, Telegram for alerts. Make’s scenario, router, data-store and error-handler model maps directly onto how I build in n8n; I’d be productive in Make quickly, but I won’t claim years in it.

3. Showcase: WhatsApp AI outreach engine, architecture
Runs daily, unattended except for one approval step.

  • Sourcing: scheduled scrape of Facebook ad libraries by niche (Apify), rotated across five verticals.
  • Verification: Google Maps match on each business, phone resolver that prefers the Maps number when the place clearly matches, WhatsApp Business name check on the candidate number, website audit (Playwright) to decide the offer.
  • AI layer: LLM audit of each business and a personalised draft per lead, in French or English depending on the business’s ad language; templates are hand-editable and reloaded at runtime.
  • Gates: deterministic pre-send check against two ledgers (phone and normalised business name) so nobody is ever contacted twice; human approval of the batch; daily cap with a ramp schedule after any number change; send window 09:00–18:00 with random jitter.
  • Delivery: custom WhatsApp adapter. I migrated it from the Chromium-based whatsapp-web.js to Baileys (native WebSocket) after repeated session corruption, and fixed a reconnect race between the adapter and the session service. Stable since.
  • Ops: n8n workflows for scrape/audit/stage, approve → send, daily report, and a global error handler → alert. Scheduled off LLM peak-pricing hours to cut cost. Daily report on sent/skipped with reasons.
    Loom walkthrough on request.

4. Availability
30 h/week, UTC+1, full overlap with KSA working hours, async-first.

5. Biggest system managed from scratch
The full Guzen operations hub, which the engine above is one part of:

  • A 6-agent LangGraph fleet (ops commander, two growth agents, jobs, CRM/data, content) with per-role model routing, an adversarial review node that checks each agent’s actual output artifact rather than its self-report, a run ledger and a local dashboard for observability.
  • A parallel B2B email pipeline: Google Maps crawl → scoring → self-hosted email verification (Reacher) → batch refresh on a 2-day cadence → approval gate → sends with a bounce-rate halt → LLM reply classification with drafted responses queued for approval.
  • A cross-project “needs you” board: every pipeline publishes a JSON attention feed, so anything stalled, broken or waiting on a human surfaces in one place within minutes.
  • Cost and safety guards throughout: recursion limits, API budget rotation, fail-closed on connection errors, circuit breaker on repeated send failures.
Roughly a dozen scheduled jobs across two outreach channels, three data sources and two LLM providers, all documented in an Obsidian vault so a contractor can pick up any part.
