Synchronizing the tasks from the PipeDrive Activities with (1) Microsoft To Do and/or (2) Apple Reminders

I would like to synchronize the tasks (and only the tasks) from the PipeDrive Activities with
(1) Microsoft To Do and/or
(2) Apple Reminders.

Reasoning: Two of the most important principles of self-organization are:

(1) Tasks are not appointments/events and appointments/events are not tasks
⇒ Tasks therefore belong on the To-Do list / in the To-Do app, and not on the calendar (that’s there PipeDrive would sync it)!

(2) There can only ever be one To-Do list (To Do app)
⇒ Tasks from PipeDrive belong on your one and only To-Do app.

⇒ calendar sync of PipeDrive does not do the job

I need synchronization of PipeDrive tasks (and only tasks) with the leading To Do apps: Microsoft To Do and / or Apple Reminders (both would work for my because my ToDo App GoodTask does support both).

In both apps, it is possible to keep a separate list for tasks from PipeDrive, which would be merged with other tasks into a common view. Therefore, a 2-way synchronization would be possible and preferred.

Before arranging a telephone oder video appointment with a time zone difference of several hours, let’s find out first:

  • What information do you need to solve the following questions?
  • Can this be solved with Pipedrive’s on-board resources and in a reasonable amount of time?

Here is my updated request:

  1. Every time I create and save a new activity > task in Pipedrive, a task is created in my ToDo app with subject, priority. Due to a bug in Apples Reminder’s sync with MS To Do, I am afraid, the sync has to be with Apple Reminder, which supposedly is trick …

  2. If I change something in the task in my ToDo app, this change is synchronized back to PipeDrive. This also includes the completion marker of the task.

Here is my system:

  • I have a PipeDrive account
  • I am working under MacOS (MacBook Air M1), iPadOS and iOS and iCloud
  • I have an MS 365 account
  • I have a free Make account
  • My ToDo app: GoodTask, a GUI for Reminder.
  • Reminder syncs with Microsoft To Do. Unfortunately, the sync between Apple Reminder and Microsoft To Do is buggy (due date is shifted by one day in certain constellations).
  • I have heard that synchronization with Apple Reminder is tricky to implement (no API?).

It is true that Apple reminders is tricky, but we have done it in the past.

We are a small team of Make.com experts and have developed plenty of complex integrations. This project should not be a challenge to us.

Let’s use Make.com to sync PipeDrive tasks with Apple Reminders. Here’s the plan:

  • Trigger: Create a Make scenario triggered by new PipeDrive tasks.
  • Extract: Extract task details like subject, priority, and due date.
  • Create: Use Make’s iCloud Reminders module (or explore scripting options) to create tasks in Apple Reminders.
    This bypasses the MS To Do sync issue.
