The challenge was to automate the creation and distribution of personalized video content to effectively manage customer interactions, potentially replacing the need for a salesperson. Businesses required a solution to streamline follow-ups, automate video production, and ensure timely engagement, all while reducing manual effort. The aim was to enhance customer engagement and conversion rates through efficient, automated processes, thus minimizing the workload on sales teams and providing a scalable alternative to traditional sales roles.


Why did the problem exist?

The problem existed due to the increasing demand for personalized customer interactions and the limitations of manual processes in handling large volumes of client communication. Traditional methods of creating and managing personalized video content required significant time and effort, making it challenging to scale effectively. Sales teams often struggled to maintain consistent engagement and follow-ups with numerous leads, leading to inefficiencies and missed opportunities. Automation was needed to streamline these processes, improve scalability, and replace the manual workload with a more efficient, technology-driven approach.


How did you solve the problem? What does your solution look like?

  1. Monday.com Status Change: The automation starts when a status change is initiated on Monday.com, triggering the extraction of essential fields such as the website link, customer name, and email from the Monday columns.
  2. Website Screenshot and Analysis: Once the website link is extracted, the ScreenshotOne API captures a screenshot of the website. Additionally, ChatGPT determines the website category and generates a script prompt based on the category.
  3. Content Creation: The extracted data and generated script prompt are sent to HeyGen, which creates an AI-powered avatar video with English subtitles. The video features the website scroll in the background with the avatar on the left side.
  4. Video Upload: After video creation, the video is uploaded to an FTP server, generating a public link for further use.
  5. Video Transformation: The Creatomate API is used to transform the HeyGen video into a 10-second GIF. The video and GIF are then sent to Monday.com, updating the status to “Video Ready.”
  6. Email Notification: An automated email is sent containing the video script and GIF to the intended recipients. The email includes a link to the full-length HeyGen video and a PDF attachment with company details. A “Contact” button in the email redirects to the website’s contact form.
  7. Video View Tracking: The automation tracks when the video is viewed. The corresponding Monday.com record is updated to reflect whether the video has been viewed or not.
  8. Follow-Up Automation: Daily, the system reviews which users have not viewed the video and sends follow-up emails up to two times. If there is no response, the record is updated to “Closed.”
