Seeking Make.com Automation Expertise for HR Tech Startup

Dear Make.com Community,

I am seeking experienced Make.com professionals to assist with the automation of key workflows for a new HR technology startup focused on connecting talent with opportunities. We require expertise in the following areas:

  • Automated Document Processing: Creating a scenario that automatically extracts information from uploaded CVs.

  • Intelligent Matching: Developing workflows that leverage AI to match CVs to project announcements based on skills and experience.

  • Targeted Search Functionality: Building scenarios that allow users to search for relevant projects based on a given CV, and vice versa (search for experts based on a given project).

  • Automated Communication: Implementing email automation to notify stakeholders (business owner, candidates, companies) based on specific triggers and data analysis.

  • Dynamic Filtering and Database Display: Creating a searchable database of anonymized expert profiles within a web interface, enabling users to filter based on experience and position. (Note: This would possibly require a custom app).

We are looking for Make.com experts who have experience with:

  • Webhooks

  • API integrations (OpenAI, Google Cloud Vision, etc.)

  • Data transformation and mapping

  • Error handling and monitoring

If you have the skills and experience to help us build these automated workflows, please contact me to discuss the project further.

Hi @droukasn

This aligns perfectly with what we do. I’ve designed advanced Make.com workflows that handle automated CV parsing, AI-driven matching (via OpenAI + structured data flows), targeted search functions, and dynamic email sequences — including error handling, monitoring, and complex data mapping across platforms.

We’ve built similar systems to streamline recruiting pipelines, automate candidate notifications, and create interactive filtered databases (using Make combined with lightweight custom web apps when needed).

You can check some of our recent work at Hashlogics: Agentic AI & RPA Solutions for Intelligent Automation.
If it’s helpful, feel free to grab a slot here to dive into your project specifics: Calendly.

Looking forward to hearing more about your vision. Happy to help map out the best approach.

Hello everyone,

Thank you all for your responses to my post regarding Make com automation expertise for my HR tech startup! I appreciate you taking the time to share your experience and interest in the project.

To help me evaluate the various proposals and ensure a good fit, I have a few clarifying questions that apply to everyone. Understanding your capabilities in these areas is crucial for the next stage of the selection process:

  1. Hosting Environment: Will the website where these services will be hosted be separate from the Make.com environment where you develop the automations?

  2. Website Development: Can you develop a website to accommodate the functionalities you’ve proposed? If so, please briefly describe your website development services and experience.

  • If you CAN develop the website: In general terms, what level of preparation on the website side would I need to undertake before you could begin the project?

  • If you CANNOT develop the website: Can you recommend reliable web developers familiar with Make com workflows who can build a functional website around your automations? How easily can your workflow deliverables be implemented on a website by a developer?

  1. Full-Service Solution: I strongly prefer working with someone who can handle both the Make com automation and the website development to deliver a complete, end-to-end solution. Please confirm if this is something you offer.

  2. Ongoing Support: What support options are generally available for future changes or updates to the Make.com automations and the website (if you build it)?

  3. Testing & Review: In general, what is the process for testing the solution (both Make.com automations and the website) before full deployment?

As a reminder, I’m building an HR tech solution focused on EU project matching. I’m looking for someone with experience in HR tech, a clear understanding of the full cycle of lead to service, and the ability to provide a scalable and sustainable automation solution. Clear deliverables, documentation, and quick training where things are not self-exolanatory will be appreciated.

Thank you again for your interest!

Hi, thank you for your thoughtful follow-up. I’d be happy to clarify each point regarding my capabilities for your HR tech project:

1. Hosting Environment: Yes, the Make.com automation environment can be separate from your main website. I typically host automations independently unless API/webhook integration into the site is required.

2. Website Development: Yes, I provide full website development services. I have experience building scalable web apps using Webflow, custom HTML/CSS/JS, or React-based frontends integrated with Make.com workflows, Google Sheets, Airtable, and APIs.

3. Website Prep Required: If I develop the site, I’ll only need a brief on the design and core pages/features. I’ll handle structure, forms, and Make.com integration end-to-end.

4. If Not Building the Site: If you prefer using an external developer, I can provide clear documentation and webhook/API-based deliverables that are easy for any developer familiar with Make.com to plug into your website.

5. Full-Service Solution: Yes, I offer complete end-to-end solutions — both Make.com automation and website development. You’ll get a seamless, integrated setup without the need to manage multiple vendors.

6. Ongoing Support: I offer monthly support retainers or ad-hoc support based on your needs — for bug fixes, updates, or adding new features.

7. Testing & Review: I follow a simple UAT process: once a draft is ready, I share a demo link and walkthrough video. After your feedback, we do final refinements and go live once you’re satisfied. Full documentation and basic training are included.

I’m confident in delivering a sustainable, scalable solution for your EU project-matching platform and look forward to the next steps.

Hey @droukasn ,

Yes, we can handle the full stack: building the website (frontend + backend) along with all Make.com automations in one integrated system.

We’ve done similar projects like https://resourcein.com/ (AI role matching + automated notifications) and https://haployee.com/ (HR workflows and employee reminders). Both use Make for backend flows tied into custom web dashboards.

You wouldn’t need much prep - mainly your branding and any EU compliance preferences (like GDPR consent language). We’d handle everything else: UI, databases, webhook setup, and Make workflows.

We also provide monthly support if you need future tweaks or new features. For testing, we set up staging sites plus sandbox workflows to verify everything before launch.

Let us walk you through a live example of how we’ve set this up once you schedule a call: Calendly

Looking forward to hearing more!

Hi,

I work with Make extensively and have solid experience with webhooks, custom APIs like OpenAI, and advanced data workflows.
Your project covers a lot of ground, but everything listed is well within the platform’s capabilities.
Happy to walk through options and help you build out a solid setup.

You can reach out to me on my email here

Colin

I’ll try to keep it brief and relevant.

Or if you are looking for an extensive Resume Rating system like an ATS system (which is imperative for HR business)?

Intelligent Matching: A similar scenario (Job Description generation via OpenAI in make). The whole process goes through a CRM, make, and then to a Customer Portal finally.

Targeted Search Functionality: Building scenarios that allow users to search for relevant projects based on a given CV, and vice versa (search for experts based on a given project).

>> Instead of using make that could get really expensive while relevant projects, we should use a ready-made plugin (cost efficient) for WordPress or the tool that we are going to use for building the website.

Automated Communication:

Implementing email automation to notify stakeholders (business owner, candidates, companies) based on specific triggers and data analysis.

Clarifying Questions:

Hosting Environment: Will the website where these services will be hosted be separate from the Make environment where you develop the automations?

Yes. You want to host a website, a HRM, and probably some other self-hosted services.

Website Development: Can you develop a website to accommodate the functionalities you’ve proposed? If so, please briefly describe your website development services and experience.

Yes. I have a portfolio in zip format that can be shared, or the client websites that are online, or our own 2 websites that I mentioned in our current profile.

If you CAN develop the website: In general terms, what level of preparation on the website side would I need to undertake before you could begin the project?

You only need the most optimum and suitable hosting for the correct type of website (for example a Wordpress website usually). Then, based upon your choice, we will either setup a server that is mostly done for more complicated apps, or we can use an automated wizard to setup a quick Lightsail type of instance. Next, we will design the content of the new website, and develop or set it up. You will need a domain purchased, pointed it to your server, setup cloudflare for security, and finally, go live.

Full-Service Solution: I strongly prefer working with someone who can handle both the Make com automation and the website development to deliver a complete, end-to-end solution. Please confirm if this is something you offer.

Yes as explained.

Ongoing Support: What support options are generally available for future changes or updates to the Make automations and the website (if you build it)?

We will deliver fully working solutions, as well as 3 months free support after. Any new features to be added to the website, or support requests after the said duration will be billable, yet we will be available for any queries in future.

Testing & Review: In general, what is the process for testing the solution (both Make automations and the website) before full deployment?

>>
a. We setup the website as the above mentioned process. It remains offline.
b. We create make scenarios and keep them in development mode + run manually.
c. We test all the processes manually.
d. We fix any potential issues we might face.
e. We rerun the test phase.
f. We integrate the required systems (make + website + HRM (If needed).
g. We test the whole process and its outcome when run automatically.
h. We go live!

>> If you have read upto here, I would also like to mention that we had already worked and still working with a hundreds of customers from EU, and references from EU’s firms are available at your demand. We also have built multiple HR tech setups around the world, where several processes have been automated completely using OpenAI (as I mentioned in my responses to the previous questions).
