Sync Fibery Database to Instantly & Parse Emails once Labelled

Hi, I’m looking for an expert to set up an automated workflow connecting a database in Fibery and Instantly, plus parsing emails once labelled in Canary Mail into another Fibery database.

Project Requirements:

  1. Fibery → Instantly Contact Sync
  • Pull contacts from Fibery and add them to the correct Instantly campaign based on the campaign field (GMT-based campaigns).

  • Map fields like First Name, Last Name, Email, Campaign, etc.

  • Automate for new or updated contacts, running once per day.

  • Avoid duplicates using email as the unique identifier.

  1. Email Parsing for Emails (without using third party AI if possible)
  • Watch my email account for messages tagged “Brief”.

  • Extract key details from the email: sender, brief description, license usage, budget, etc.

  • Add these details to the corresponding client in Fibery (or create a new client if needed).

  1. Engagement Metrics
  • Pull opens, last open date, and last email subject from Instantly for each contact.

  • Update Fibery to track client stage: No Response, Responded, Brief, Sync.

Deliverables:

  • Fully working scenario connecting Fibery ↔ Instantly and another for parsing “Brief” emails.

  • Documentation of field mappings and scenario logic.

  • Tested with a small batch before full deployment.

If you’re interested could you message me with reviews, a ballpark fee, a timeline to complete the work and I will be in touch.

Thank you

Hello @Jack7 , welcome to make.com community, I have worked and have experience with Make.com and l will love to collaborate with you on this you can schedule a call Here and you can checkout my upwork profile Here, for my pastworks and certifications

Hey Jack, I specialize in building robust automation workflows and can help you seamlessly connect Fibery and Instantly, as well as automate the email parsing process.

I would use Make.com to automate the synchronization of contacts between Fibery and Instantly, ensuring data consistency while avoiding duplicates. I’d also set up an email parsing automation to extract key details from Canary Mail and update Fibery accordingly.

Hi, I see you need a reliable automation connecting Fibery with Instantly plus email parsing from Canary Mail into Fibery. I can build a stable daily sync that maps contacts to the right campaigns, prevents duplicates using email, tracks engagement metrics, and parses tagged “Brief” emails to update or create client records automatically.

I specialize in multi-app automation and API integrations (Make.com/n8n, CRM sync, email parsing, data mapping) with strong focus on accuracy and clean documentation. I can deliver fully tested scenarios with clear field mapping and logic.

Hi,

This is a well-defined workflow and I can help you build it cleanly and reliably.

I would set up a scheduled Fibery → Instantly sync that handles new/updated contacts, prevents duplicates using email as the unique ID, maps all required fields, routes contacts to the correct campaign, and pulls engagement metrics back into Fibery to update client stages automatically.

For the “Brief” emails, I’d create a scenario that watches the labeled emails, extracts key details, matches or creates clients in Fibery, and logs everything properly with fallback logic.

You’ll receive fully working scenarios, clear documentation, and tested deployment.

You can reach me at fopefoluwaakinola@gmail.com if you’d like to discuss further.

Hi Jack,

Welcome to the community.

This is a clean and well-defined automation setup. Syncing Fibery to Instantly with proper field mapping and duplicate control, plus structured email parsing into Fibery, is absolutely achievable with Make when designed carefully.

I’ve built similar database-sync and email parsing workflows with deduplication logic, staged updates, and structured logging to avoid data conflicts.

A couple quick questions:

• Should Instantly remain the source of truth for engagement metrics, or will Fibery become the master record?

• Do you want AI-assisted parsing for the “Brief” emails, or structured rule-based extraction?

Happy to share examples and outline a realistic timeline.
