Hi! I’m looking for a Make.com expert who can help finalize our automated billing system for our business. We already have the HTML tokenization form (using Xendit.js) and a working structure in Google Sheets — we just need help integrating all the pieces via Make.

:hammer_and_wrench: What We’re Using:

  • Xendit (API & tokenization via HTML + JS form)
  • Google Sheets (Billing Log & Client Master)
  • Xero (multi-currency invoicing in USD)
  • Make.com (webhooks, Google Sheets, HTTP, possibly Xero modules)
  • [:check_mark:] Webhook & Google Sheets triggers already functional

Flow Overview:

  1. Client fills out HTML form to tokenize their credit card (already working)
  2. Token and client info is saved to Google Sheets (Client Master)
  3. When a row in our Billing Log is marked Ready to Bill:
  • Get matching token & rate from Client Master
  • Charge the saved card via Xendit API
  • Create a USD invoice in Xero
  • Mark invoice as paid (if successful)
  • Send confirmation email to our billing inbox + client
  1. If payment fails:
  • Update the billing log row as Payment Failed
  • Send email to client and cc us

What We Need You to Do:

  • Finalize and clean up our current Make scenarios
  • Make sure token matching, charging, invoice creation, and notifications run smoothly
  • Help implement retry logic for failed payments
  • Optional: minor form updates and webhook handling logic (if needed)
  • Ensure good error handling and easy-to-maintain structure

Requirements:

  • Proven Make.com experience (please share sample scenarios or references)
  • Comfortable using HTTP module, Google Sheets modules, and custom JSON mapping
  • Experience with Xendit API strongly preferred (or other payment gateway APIs)
  • Familiarity with Xero integration via Make is a plus
  • Good communication and reliable delivery

** Budget & Timing:**

  • Budget: Open to fixed or hourly – we’re looking for quality and efficiency
  • Start: ASAP
  • Location: Anywhere, but preference to those familiar with SE Asia or Philippines-based flows
