Hiring: Long-Term Airtable + Make Automation Systems Specialist ($18–$25/hr)

We’re looking for an experienced Airtable + Make.com Automation Systems Specialist for an ongoing, long-term role.

Our company runs a significant part of its internal operations through Airtable and Make. We already have an automation specialist managing these systems, and the person we hire will initially work alongside him, learn our infrastructure, help maintain and improve it, and gradually take ownership of important workflows.

A major goal for us is redundancy: we do not want critical automation infrastructure to depend on only one person. Because of that, documentation, communication, reliability, and maintainable system design are just as important to us as building new automations.

This is not a one-time project. We’re looking for someone who can become a long-term part of our operations.

What we need experience with:

  • Strong real-world Airtable experience, including relational database design, linked records, formulas, automations, interfaces, and ideally scripting
  • Strong Make.com experience with multi-step scenarios, routers, filters, iterators, aggregators, webhooks, error handling, retries, and debugging
  • API integrations, HTTP requests, JSON, authentication, and webhooks
  • Preventing duplicates and handling failed or repeated executions safely
  • Maintaining and improving existing production automations, not only building new ones
  • Logging, monitoring, documentation, and safe changes to live systems
  • Ability to explain technical issues clearly to a nontechnical manager

Basic JavaScript or scripting experience is a plus.

Initial arrangement: approximately 15–20 hours per week, with potential to grow.

Budget: ideally $18–$22/hour, with a maximum initial rate of $25/hour depending on experience.

We are open to candidates worldwide as long as there is reasonable overlap with the U.S. Eastern working day.

To be considered, please reply or DM me with:

  1. Your hourly rate.
  2. Your country/time zone and approximate availability.
  3. How much of your recent work involves Airtable and Make.com.
  4. One real production system you personally built using Airtable + Make. Please explain what it does and what you personally built.
  5. A redacted screenshot, blueprint, Loom walkthrough, portfolio example, or other evidence of that system if possible.
  6. An example of a production automation failure you had to troubleshoot and how you solved it.

Please only apply if you have hands-on production experience with both Airtable and Make.com. Experience that consists primarily of simple Zapier workflows or basic one-step integrations would not be enough for this role.

Shortlisted candidates will go through a structured screening process and a paid practical evaluation before we make a long-term decision.

Thanks! I’m looking forward to meeting some strong automation builders from the Make community.

Hi @Juan.Restrepo, I believe we already connected on Upwork yesterday about this same role, happy to continue the conversation there. Also I have attached some more samples and recordings in the DM

Taiwo

Hi Juan,

I’m based in Seoul (KST), available around 15 hours per week, and my rate is $18/hr.

I’ve recently been building Make and Airtable workflows. My main project is a lead intake system that validates webhook data, checks Airtable for existing records, creates or updates leads, and sends alerts and logs.

Here’s a short walkthrough:

To be transparent, this is a portfolio project rather than a paid production deployment. I tested and fixed duplicate submissions and invalid webhook payloads using validation, search-before-create logic, and failure logging.

I understand you prefer production experience, but I’d be glad to complete the paid practical evaluation if you’re open to it.

Thanks,
Yujin

Hi Juan,

I’d be interested in the role.

My experience is primarily around Make.com and n8n automation, API integrations, webhooks, multi-step workflows, data processing, error handling, and maintaining automation systems rather than just building simple one-step integrations.

I’ve also worked with Airtable as part of automation workflows involving structured records, data mapping, deduplication, and synchronization between systems.

I’m particularly interested in the production maintenance and reliability side of this role, including making changes safely, troubleshooting failures, and documenting workflows so they are maintainable by the wider team.

My initial rate would be $20/hr, and I’d be happy to provide the requested examples and details by DM.

I’ve also sent you a DM with my portfolio and relevant work.

You need someone who can step into an existing Airtable + Make.com environment, understand it quickly, improve reliability, and reduce dependency on a single automation specialist.

That’s exactly how I’d approach the role.

I can help with:

• Auditing and documenting existing scenarios

• Fixing duplicate/retry issues and making workflows idempotent

• Improving Airtable structure, linked records, formulas, and interfaces

• Strengthening routers, filters, webhooks, API calls, and error handling

• Adding logging/monitoring so failures are easy to trace

• Making safe changes without disrupting production workflows

Rate: $20/hour

Timezone: WAT

Availability: 40 hours/week with U.S. Eastern overlap

Freelance Profile / portfolio: https://www.fiverr.com/s/p3pL01l

I can also share redacted screenshots/blueprints of relevant Airtable + Make systems I’ve built.

Feel free to reach out to me here to discuss this further.

Hi,

I noticed you are looking for an expert to streamline your data pipelines and CRM operations. I specialize in building robust, fault-tolerant automation architectures using Make.com and HubSpot CRM that eliminate manual data entry and ensure clean data routing from day one.

For a recent client implementation, I engineered an automated vetting and contact management pipeline featuring:

  • Custom Webhook Ingestions: Seamlessly capturing real-time payload data from external entry points into Make.com.

  • Intelligent CRM Lookups & Deduplication: Querying HubSpot CRM objects dynamically using filter conditions (such as matching via email) to check whether a record already exists before taking action.

  • Conditional Routing & Automated Provisioning: Utilizing Make.com routers and conditional filters (e.g., verifying {{3.id}} existence) to automatically branch workflows—instantly creating new contact profiles with mapped fields (First Name, Last Name, and Email) only when a record is genuinely new.

Why work with me?

I don’t just connect apps; I build clean, production-ready workflows with precise error-handling logic, proper data mapping, and scalable JSON data structures. Whether you need to build a complex candidate vetting funnel, an automated client onboarding system, or a multi-step CRM synchronization sequence, I can deploy a reliable solution quickly.

Let’s chat about your workflow bottlenecks and how we can automate them this week.

Hourly Rate: $25/hour

Country / Time Zone & Availability: Nigeria (WAT / GMT+1), available for 15–20 hours per week with flexible overlap for U.S. Eastern working hours.

Airtable & Make.com Experience: 100% of my recent workflow automation and operational systems work centers around advanced Make.com architectures and relational database routing.

Production System Example:

I recently built a fault-tolerant B2B lead intake and routing system that catches broken payloads, alerts the team, and routes good data automatically. Specifically, it captures incoming webhooks, runs a dynamic validation layer to check field data, performs deduplication checks, and cleanly routes records into downstream databases with fallback error-logging so that no data silently vanishes.

Troubleshooting Example:

I once encountered a production failure where a target API intermittently timed out during peak volume, causing multi-step scenarios to fail midway. I resolved this by restructuring the scenario to include an explicit error-handling route using an isolation branch that catches the timeout error, logs the raw payload data to a backup sheet for absolute visibility, and triggers an immediate team alert without stalling the primary queue.

Your main risk here is inconsistent merchant data between the application and bank statement workflows.

For the $120 audit, I’ll check the 14 fields for a stable matching key, null-safe updates, duplicate records on repeated runs, Make error handling/retries, and Airtable operation limits. You’ll receive a prioritized P1–P3 report with reproduction steps and estimated hours for each fix.

One question before I start: which normally arrives first in your workflow — the application or the bank statement?

I can complete the audit within one business day using a blueprint export and redacted samples, with no live credentials or unmasked EIN/SSN required.

Hi Juan,

I’m interested in this role. The combination of Airtable + Make production work, maintaining existing infrastructure, documentation and reducing dependency on one technical person is closely aligned with the work I’m currently doing.

  1. Rate: $20/hour.

  2. Location / availability: I’m based in Johannesburg, South Africa (SAST / UTC+2). I can accommodate 15–20 hours per week and structure my working hours to provide regular overlap with the U.S. Eastern working day.

  3. Recent Airtable + Make work: A significant part of my recent systems work has involved Airtable as the operational database layer and Make as the automation layer, alongside Shopify, Glide and other business tools. My focus is generally on operational systems rather than simple one-step automations — structured data, linked records, workflow logic, syncing systems, exception handling and making processes usable by nontechnical teams.

  4. Production system example: One of the main systems I’ve personally built and maintained is for a fresh-produce distribution business. I designed the Airtable structure supporting customer orders, order items, inventory, BNPL/customer balances and operational records. I then built Make workflows connecting those processes to Shopify, including taking structured orders from Airtable and creating Shopify Draft Orders, as well as payment/status synchronisation between the systems.

  5. Evidence: I can provide redacted Airtable screenshots and Make scenario screenshots/blueprints privately, as well as a short systems portfolio/case-study overview.

  6. Production troubleshooting example: One issue involved synchronising payment data from Shopify back into Airtable. The workflow needed to retrieve Shopify transaction data, determine the amount actually paid and update the correct records and outstanding balances. I traced intermittent transaction responses, reviewed the mapping/update logic and made the workflow safer around when Airtable records were updated.

A major part of how I work is understanding the operational process before changing the automation. I also document systems and train nontechnical users, so the redundancy and maintainability side of your role is particularly appealing to me.

Happy to send redacted examples and go through the structured screening process.

Nhlanhla

I’m a CISA-certified IT Business Analyst and Workflow Automation Consultant with enterprise technology and transformation experience, and I have hands-on production experience building and improving systems with Airtable and Make.com.

What particularly caught my attention is your emphasis on maintainability, documentation, reliability, redundancy, and taking ownership of existing production workflows. That is exactly how I approach automation. I don’t see automation as simply connecting applications together; I design workflows that are understandable, resilient, auditable, and safe to operate over the long term.

1. Hourly rate

My preferred rate is $20/hour, although I’m open to discussing the overall arrangement based on responsibilities and the opportunity to grow into greater ownership.

2. Location, timezone & availability

I’m based in Nigeria (WAT, UTC+1) and can provide approximately 15–20 hours per week initially. I’m comfortable structuring my availability to provide meaningful overlap with the U.S. Eastern working day.

3. Recent Airtable + Make.com experience

A significant part of my recent automation work has involved Airtable and Make.com, including database architecture, workflow design, multi-step automation, integrations, notifications, document generation, data movement, and process optimisation.

I hold both Airtable Builders Certification and Make.com Intermediate Certification, but more importantly, my experience is hands-on and production-focused

4. Production Airtable + Make.com system

One example is a Client Onboarding Engine I personally architected and built using Make.

The objective was to replace a highly manual onboarding process involving multiple teams and handoffs.

I designed a multi-step workflow connecting the intake process, CRM updates, document generation and customer welcome notifications. The result was a reduction in onboarding time from approximately 3 hours to 5 minutes — a 96% reduction.

The important part wasn’t simply making the workflow run. I approached it as a production business process: mapping the existing workflow, identifying failure points and unnecessary handoffs, designing the automated process, integrating the required systems, and ensuring that the resulting workflow could be maintained and improved.

I have also personally architected an Airtable-based School Management System with 6 linked tables, automated fee-receipt processes and an AppSheet mobile portal, supporting 200+ students and 15 staff. I also built an EZFlow appointment automation connecting Tally → Airtable → Gmail → WhatsApp to automate booking, confirmation, reminders and follow-up.

These are real operational systems rather than demonstration or tutorial projects.

5. Evidence / portfolio

I can provide a redacted screenshot, automation blueprint, workflow documentation or walkthrough of the relevant system while protecting confidential information.

6. Production automation failure

My approach to production failures is to first determine whether the problem is caused by data quality, duplicate execution, integration/API behaviour, configuration, timing/race conditions, or the automation logic itself.

I then trace the execution path, identify the failure point, correct the underlying cause rather than simply restarting the scenario, and introduce safeguards where appropriate so that the same failure is less likely to recur.

This is particularly important to me because I understand that a production automation is effectively part of the company’s operational infrastructure. A workflow that works 99 times but creates duplicate records, loses data, or fails silently on the 100th execution is not a reliable system.

Your goal of creating redundancy so that critical systems don’t depend on a single individual particularly resonates with me. I would approach that as a core engineering objective: documented architecture, clear naming and structure, resilient workflows, appropriate error handling, traceability, and knowledge transfer.

I’d welcome the opportunity to discuss the existing Airtable/Make environment and show you how my experience could complement your current automation specialist.

Best regards

You’re not looking for someone who simply knows how to connect two apps in Make.com—you’re looking for someone who can build and maintain automation systems that keep working when things go wrong. That’s exactly the kind of work I want to take ownership of.

Hi, I’d love to become the long-term automation partner you’re looking for.

I specialize in building reliable Make.com automations, API integrations, webhooks, routers, filters, error handling, and multi-step workflows—with a strong focus on making systems stable and easy to maintain, not just getting them to work once.

What particularly caught my attention is your emphasis on production reliability, debugging, duplicate prevention, logging, and safe improvements. That’s exactly how I approach automation: build it properly, test edge cases, monitor failures, and make sure the workflow can scale.

I’m comfortable working with Airtable + Make.com, including structured databases, formulas, automation logic, API/HTTP requests, JSON and webhook-based workflows.

I’m available for 15–20 hours/week and can overlap with U.S. Eastern working hours.

I’d be happy to walk you through a real automation I’ve built and explain the architecture, logic, error handling, and decisions behind it.

If you’re looking for someone who can own your automation systems long-term—not just build scenarios and disappear—let’s talk.

Send me a message and I’ll be ready to discuss your current system and how I can help improve it.

Hi Juan,

I am interested in the role because the focus on reliable systems, documentation, safe changes, and redundancy matches how I work.

Most of my recent work has been TypeScript and Python services, APIs, webhooks, PostgreSQL and Supabase, messaging workflows, validation, retries, tests, and handoff notes. I am currently in the U.S., so your Eastern schedule works for me. I would be looking for $25 an hour.

I want to be upfront that I do not have a long-running client Airtable and Make deployment I can present as production experience. I can show related workflow and reconciliation work and complete a paid practical evaluation if that gap is acceptable.

Miguel De Jongh

Happy to take a first slice: form or Google Sheet → AI hot/warm/cold score → Slack in 72h on your Make account. Fixed $249. You keep the scenario. Stripe checkout after we agree scope. Reply here if that fits.

Hi @Juan.Restrepo,

I’m Zay, a developer specialising in business automation and the continuity of the systems behind it. I’m interested in joining your operation alongside your current specialist, taking responsibility for maintaining and improving the workflows as ownership is shared.

My background spans more than eight years working on business systems and the teams they support. My responsibilities cover organising operational data, connecting services, resolving technical incidents and making the system understandable to the people using it. At Bose, my work brought together internal tools, prioritisation, documentation of order-system and SAP issues, and coordination with engineering. That experience is particularly relevant to the continuity you want to establish.

Technical fit

I work across Make, Airtable, APIs and webhooks, with JavaScript and Python for processes that require additional control. My automation work covers intake validation, record creation and updates, routing, document generation and internal notifications. Reliability is part of that responsibility: keeping repeat submissions from becoming duplicate records, preserving valid information and making interrupted work recoverable.

My systems portfolio includes a Make/Airtable request workflow showing validation and routing through to documents, email drafts and team notifications. I handle the logic connecting those stages. My application work also covers persistent state and recovery across external services, which is useful when an automation succeeds in one system and fails in the next.

What I would take responsibility for

I would work with your specialist to understand the existing infrastructure, maintain the agreed workflows, investigate incidents and carry improvements through testing and documentation. You would have someone who can explain what happened, what was changed and what the operation should expect next.

For your goal of reducing dependence on one person, I would make the handover practical: another maintainer should be able to recognise a failure, understand its effect and follow the recovery steps. Documentation would form part of each change, alongside checks that the business process still completes correctly.

My troubleshooting work includes recovering enquiry delivery where the interface reported success but the business received nothing. Verification followed the information through to receipt, including all three affected forms. That is the standard I bring to maintenance: checking the result the operation relies on.

Working together

I’m based in Spain, on Europe/Madrid time, and available to discuss the role. I’ve noted the initial 15–20 hours per week, your hourly budget and the Eastern-time overlap. We can agree the allocation and rate against the responsibilities; I’m also comfortable with your paid practical evaluation.

I’d be glad to discuss the collaboration and how I could contribute to your team. Happy to continue the conversation here.

Zay

Hi Juan,

I’m applying for the Automation Systems Specialist role. Through my agency, Cipheron Systems, I specialize in building maintainable, production-grade workflows in Make.com and Airtable.

1. Hourly Rate

$22/hour.

2. Location & Availability Based in Karachi, Pakistan (PKT / UTC+5). I have full, reliable overlap during U.S. Eastern morning hours (9:00 AM – 2

:00 PM EST) and can commit 15–20 hours per week immediately.

3. Recent Work with Airtable & Make.com Approximately 80% of my daily technical work involves Airtable, Make.com, webhooks, and REST APIs.

4. Production System Built

I built an end-to-end Call Intelligence & Booking Automation engine for a dental clinic system (“James dental receptionist”).

  • What it does: Receives real-time call payloads via custom webhooks, processes caller intake, and uses routers to handle distinct paths (New Appointments, Reschedules, Cancellations). It queries Airtable to match existing records or create new ones, updates status/appointment tracking, sends automated email updates via Gmail, and fires synchronous webhook responses back to the origin service.

  • What I personally built: Designed the Airtable base schema, configured all Make.com scenarios, built custom routers, set up webhook response handling, and implemented error-handling boundaries to prevent duplicate record generation.

5. Blueprint / System Evidence

Here is a view of the production Make.com scenario featuring custom webhooks, router branches, multi-step Airtable operations (Search/Create/Update), and response handling:

6. Troubleshooting Example

  • The Issue: A production webhook scenario began firing duplicate Airtable records during peak incoming call volume due to high-concurrency hits arriving within milliseconds before the initial “Search Records” step completed.

  • The Fix: I updated the Make scenario to leverage Airtable’s Upsert Record action paired with an idempotent unique identifier (Call_ID / Client_Phone). Additionally, I added an incomplete execution error handler module with automatic retries and built an immediate notification alert on scenario failure.

I’m ready to participate in your practical evaluation and look forward to hearing from you.

Best regards,
Ayesha Fareed

Hi @Juan.Restrepo, is the Airtable + Make role still open? I’d like to learn more about the workflows you need help maintaining and the paid practical evaluation.

Could you please send me a private message to discuss the initial responsibilities and the Eastern Time overlap you need?

Thanks,
Tony

Juan, rather than starting hourly, we can ship a fixed $5k / ~2-week Pilot for one production Airtable + Make workflow: Make JSON, HITL gates, runbook, and Loom. 50% or 100% to start. Want a one-page SOW today?

Hi Juan,

I’m Mike Liu. My background includes maintaining HR systems, investment databases and reporting data at SPD Bank. I’m interested in supporting your existing infrastructure alongside your specialist, with careful changes, clear documentation and dependable communication.

1 Hourly rate

My proposed rate is $22/hour, within your preferred range. We can confirm the billing currency when discussing terms.

2 Location and availability

I’m based in West Vancouver, Canada, on Pacific Time, and can offer 15–20 hours per week. I propose weekdays, 9:00 a.m.–12:00 p.m. Pacific Time, providing overlap with the U.S. Eastern working day, with remaining hours scheduled flexibly. I can attend team meetings.

3 Recent Airtable and Make usage

My recent work has involved Airtable for linked operational records and Make for validation, API calls and exception handling. I have focused on understanding dependencies and making recurring workflows easier to maintain.

4 One production system and my contribution

I built an operational reconciliation workflow for a team reviewing recurring submissions. Airtable linked reporting periods, source entities, submissions and review exceptions. A scheduled Make scenario checked incoming records, matched source references, routed discrepancies and sent approved data, including source references, to a reporting application through its API. I designed the relationships, field mappings and review views, built the validation and routing steps, and documented dependencies and recovery checks. The review queue separated missing data from mismatched values so reviewers could see what required action. Each processed item retained its source reference, destination ID and execution outcome.

5 Evidence

I can explain the system’s data relationships, scenario paths and recovery decisions during screening, and demonstrate my approach in your paid practical evaluation. No screenshots or blueprints are attached to this initial application.

6 One production failure and resolution

A downstream API timed out after accepting a record, leaving Make without confirmation. I checked the execution history and searched the destination using the source reference, then reconciled the returned record with the original payload. I recorded the successful write and used a controlled recovery path for the remaining steps. Ambiguous records stayed on hold for manual review. I added a pre-write reconciliation check, tested repeated inputs and timeout recovery, and documented when to retry or escalate.

I would start alongside your specialist, map dependencies and failure history, and agree review and handover routines before gradually taking ownership. I would explain issues in terms of affected records, operational impact and the next recovery step.

Best,
Mike Liu

Hi Juan, replying with what you asked for.

Rate: 22 dollars an hour to start, open to revisiting once we have worked together for a bit.

Timezone: Pakistan Standard Time, UTC+5. That gives a full morning overlap with US Eastern and I regularly work into the US afternoon for calls or handoffs. Available 15 to 20 hours a week now, can flex up if the work grows.

Background: primarily Make.com over the last year plus, most recently a fumigation and inspection company’s workflow, one JotForm submission gets parsed for the property address, branches new versus returning client, creates the Drive folder, generates five PDFs and files them, saving 15 to 20 minutes of manual work per submission. Multi step scenario with routers, error handling and retry logic, not a linear happy path build.

On Airtable specifically, I built the backend for an n8n based CRM and AI agent integration where Airtable held the structured records the agent read from and wrote to, with duplicate checks built in before any write happened. I have not personally wired Make directly into Airtable in one production system yet, saying that plainly rather than implying otherwise. The underlying discipline is the same regardless of which two tools are connected, check before writing, handle retries safely, document it so someone else can maintain it without you, and that is what actually protects the redundancy goal you described.

7 years of software engineering, Node, TypeScript, React, MongoDB, before specialising in automation, so JavaScript inside Airtable or Make is not a gap.

Happy to send a Loom walking through the JotForm to Make workflow if that helps.

Hi, thanks for sharing the opportunity. I’m interested in the role because the systems side of Airtable + Make is closely aligned with the automation work I’ve been building.

I want to be transparent about my background: my recent hands-on work has focused more broadly on AI/workflow automation using Make, n8n, Zapier, APIs, webhooks, Google Sheets, Shopify, and AI integrations. I have built and tested multi-step automation workflows, but I would not describe myself as having extensive production experience maintaining a large Airtable + Make infrastructure yet.

My current availability is around 15–20 hours/week, and I’m based in Pakistan (UTC+5) with reasonable overlap with U.S. Eastern hours.

I’d still be very interested in being considered for the practical evaluation or an initial paid task where I can demonstrate my ability with your actual workflow and learn your infrastructure properly.

Happy to share my automation portfolio and examples of the workflows I’ve built.

Best,
Zeeshan
