What problem were you trying to solve with your automation?
Streamlining the process of order fulfillment and inventory management by automating various tasks such as adding complimentary items, calculating shipment weight, creating sales orders, generating shipping labels, and issuing invoices.
Why did the problem exist?
The existing process of order fulfillment and inventory management involved multiple manual steps, which were time-consuming and prone to errors. Coordinating between different systems such as Shopify, Zoho Inventory, ShipStation, Zoho Books, and Zoho Invoice required significant effort and increased the risk of data inconsistencies.
How did you solve the problem? What does your solution look like?
The solution we have developed is an automation system that leverages triggers and actions across various platforms.
-
When a new order is placed in Shopify, the solution examines the order for any discount coupons or gift coupons associated with it.
-
If a gift coupon is found, the system identifies the corresponding complementary item in Zoho Inventory and adds it to the order line items.
-
The solution calculates the total weight of the shipment and selects the appropriate package for shipping.
In addition to these functionalities, the automation solution also performs several other tasks.
-
It creates a sales order and generates an invoice within Zoho Inventory.
-
Utilizing a customized email template, it sends the customer a confirmation email with all the relevant details.
-
To streamline the shipping process, it generates a shipment label using ShipStation.
-
Simultaneously, it creates a Trello card where the shipment label and order details are updated to keep the relevant information easily accessible and organized.
-
Finally, the solution uploads the shipment label to Zoho Drive, ensuring it is securely stored and accessible for future reference.
