Willow Grey Interiors is an award-winning luxury interior design and project management business with ambitious growth plans.

We’re looking for an exceptional Head of Automation & AI to help us build the next generation of our business.

This is not an IT support role.

We’re searching for a commercially-minded automation specialist who can work directly with our leadership team to simplify processes, connect systems, introduce AI and create a scalable operating platform that supports our growth.

You’ll be responsible for:

• Mapping and redesigning business processes
• Connecting systems including Monday.com, Studio Designer, Microsoft 365, Outlook, Xero, WhatsApp and other business tools
• Building automations using Make.com, Zapier and AI platforms
• Reducing manual administration across the business
• Creating dashboards, reporting and management visibility
• Introducing AI solutions to improve productivity and customer experience
• Training and upskilling the team
• Leaving behind a business that is significantly more efficient, scalable and profitable

We’re looking for someone with proven experience in:

I would not start this as a broad “AI transformation” brief. I would start with one paid operating-system slice that proves the process map, integration pattern, and handoff standard before expanding.

For Willow Grey Interiors, the first useful slice looks like: map 2-3 admin/project workflows, choose one painful handoff between Monday.com, Studio Designer, Microsoft 365/Outlook, Xero, or WhatsApp, define the data contract and exception paths, then build the first Make automation with run logging, dashboard visibility, and operator notes. That gives leadership something concrete to judge before a longer 6-12 month engagement.

I sent an email as well, but one thought I’d add here: I’d be careful not to start this as a big Make build.

With a business like this, the first useful step is probably deciding where the source of truth lives for each part of the operation: project status, client comms, supplier/admin tasks, finance, and leadership reporting. Once that’s clear, the automations become much easier to build and much less likely to turn into a pile of brittle scenarios.

If I were approaching it, I’d start with one high-friction project/admin process, map how it actually moves through Monday, Studio Designer, Outlook, Xero and WhatsApp, then build a first working version the team can use and maintain before expanding across the business.

This role is a strong fit for a small fixed-scope slice.

I would not start with a full rebuild. I?d propose a 1-2 day phase 0 that focuses on one high-friction workflow, with strict field mapping, retries, logging, and a handoff note so another developer can continue cleanly.

For this first slice, I?d keep scope narrow around the Make/comms stack you mentioned and quote it as a fixed milestone, roughly EUR 350-500 depending on the exact systems and access you want included.
